What hardware do I need?
You need a laptop to run the system, a standard Wi-Fi router to create a local network at the venue, and smartphones for your gate staff to scan tickets. No special devices, dedicated scanners, or apps are required. GateFlow runs on any Windows or Mac laptop, and staff scan through a browser on any smartphone.
Do I need internet during the event?
No. GateFlow runs entirely on your local network during the event. Internet is only needed before the event for setup and after for syncing reports to the cloud. If the venue internet goes down mid-event, nothing changes — scanning, validation, and the live dashboard all continue without interruption.
Does GateFlow replace my ticketing platform?
No. GateFlow handles entry operations only — it works after tickets are sold. You export your ticket data as a CSV from any ticketing platform (Eventbrite, custom systems, spreadsheets, anything), and GateFlow manages validation at the venue.
How do I get my tickets into GateFlow?
You export a CSV from your ticketing platform and our team imports it during the preparation phase. We guide you through the entire process and verify everything looks correct before event day. Most imports take under 15 minutes.
How long does on-site setup take?
Once the event package is prepared in advance, on-site setup takes under 10 minutes. You open GateFlow on your laptop, connect your router, and staff join through their phone browsers. No installations, no configuration.
Can multiple staff scan at the same time?
Yes. Multiple devices can scan simultaneously across one or more gates. The local server uses atomic transactions to ensure two devices can never admit the same ticket at the same moment — one request wins, the other immediately receives an already-used result.
How many gates and devices can I run?
GateFlow is built to support multiple staff scanners on the same event. The exact gate and device setup depends on your event flow, venue layout, and operating plan, and we review that with you before event day.
What happens if the laptop crashes or loses power?
GateFlow is built for resilience. All data is saved continuously to a local database, so the system recovers from interruptions without any data loss. We recommend keeping a power bank or backup cable on hand. Once the laptop restarts, GateFlow picks up exactly where it left off.
Is attendee data secure?
Yes. During the event, all attendee data stays on your local network and never leaves the venue. GateFlow does not transmit attendee data to any external servers during entry operations. You own your data — GateFlow acts as a processor on your behalf.
Can I use GateFlow for multi-day events?
Yes. Multi-day events are supported. We review the event structure with you and confirm the right operational setup before delivery.
What do I receive after the event?
You receive a full post-event report including total attendance, scan logs per gate, entry and exit breakdowns, rejection reasons, device activity, and a complete audit trail of every scan made. Reports are available locally immediately after the event and sync to the cloud once internet is available.
